Automatic Signature
An automatic signature contains personal information (name, address, telephone number, etc.) that is inserted automatically at the end of each message. Since the user chooses the information to be included, he or she should be informed of the risks involved, including the possibility for a recipient to contact the user not only via E-mail but also through conventional means such as by telephone.
Calling Cards
A calling card can contain personal information that is much more detailed than the automatic signature. For instance, it can include a photograph. Furthermore, calling cards are uploaded to the public address book on the server, where any subscriber can access them.
Users should be aware that using a calling card is not without risk, and that the information it contains may be copied or retrieved by anyone.
Attachments
A document can be attached to an e-mail message. This function makes it possible to share information quickly and easily. Exchanging documents encourages and simplifies collaboration between people who share a common interest. File transfers also make it possible to receive input from many people and to consider different viewpoints when developing projects. It is a handy feature for working collaboratively without requiring formal meetings.
An attachment can be sent to a single person, but also to a group through a private or public mailing list. Students and parents should be informed and made fully aware of the consequences of using the "Attachment" feature; it is also important to encourage students to respect confidentiality and copyright.
