What do we Mean by File Sharing?

Files are generally sent and shared among a limited number of people who know each other and who are working on a common topic related to a specific project. Files are sent to the disk space on a server, and only the participants and the server administrator have access to them. This feature is very useful for teamwork when the participants cannot meet in the same place.

Generally, the number and identity of the participants are known to all the members of the group, even if they live in different countries. Any confidential or identifying information that is exchanged usually remains within this limited group.

Accessing the Server

Since access to the disk space is controlled, participants must identify themselves. An access code, which may be the name of the person and a password, is required. Generally, notification that new documents have been uploaded to the file transfer site is sent to the user's E-mail address.

Sharing Documents

People use this space to send or share documents, especially to develop documents together. Depending on the work to be carried out, these documents may contain personal information regarding one or more people. They may also contain material or components in which one does not hold the copyright, e.g. photographs. Since these documents are in electronic format, they can be modified by the other members in the work group. It is important to remember that even though these documents have been uploaded to a file transfer site, they still remain the property of their author.

Server Location

Unless this file sharing is done through the School board Portal, the server might not be under the responsibility of the school board and could be outside the country. In such case, the school board cannot guarantee the confidentiality of the information provided and the protection of the documents uploaded and cannot always ensure that its obligations will be assumed by the organization that hosts the server.
